Fillinow processes account and sign-in information, request content, recipient answers, uploaded files, submitted signatures, and technical information needed to operate and secure the service. Recipients can respond without creating an account.

We use information to provide accounts, create and deliver requests, save and display responses, operate AI features, respond to support enquiries, and protect the service. Depending on the circumstances and applicable law, processing relies on providing the requested service, legitimate interests such as security, legal obligations, or consent where required.

The person or business creating a request determines why recipient information is requested and how it will be used. For that content, Fillinow provides the supporting processing service. Recipients should contact the request creator about their use of submitted information and may contact us for platform-related privacy questions.

When you use an AI feature, we send the instruction you type together with the request being built — its title, description, and the list of its field labels and types — to the AI service so it can generate or edit the request structure.

Recipient answers and uploaded files are not sent to the AI service. AI requests are processed through the Lovable AI Gateway using Google’s Gemini 2.5 Flash model. Avoid including unnecessary sensitive information in AI instructions.

We use providers for hosting, authentication, database and file storage, and AI processing. They receive only the information needed to perform those functions. Sign-in supports email and password as well as Google sign-in, so signing in with Google involves Google. Payment processing is not yet active.

Fillinow uses cookies and browser storage for sign-in and session continuity, and to let a recipient resume their own in-progress response on the same device. We do not use analytics, advertising, or tracking technologies.

Uploaded files are kept in private storage and are not publicly listed or browsable. They are served to authorised viewers through short-lived links generated on request.

We retain information as needed to provide the service and meet applicable legal, security, and dispute-resolution needs. You can request account or personal-data deletion by emailing fillinowapp@gmail.com. Some information may need to be retained for legitimate legal or security reasons, and deletion from provider backups may follow their retention processes.

Depending on applicable law, you may have rights to access, correct, delete, or receive a copy of your personal information, restrict or object to processing, and withdraw consent where processing relies on it. Contact us to make a request. We may verify your identity. You may also raise concerns with the relevant data-protection authority.

Service providers may process information outside your country. Applicable data-transfer requirements must be addressed where required. No internet service can guarantee absolute security.

We may update this policy as the service changes. The date above identifies the latest version.
